Quoting that doesn’t eat Friday

Three days to get a quote out, and every one of them written after hours. Now they go out the same afternoon.

An illustrative case study. This describes the shape of the work, the real timeline and the real price — but it isn’t a named client. We’ll replace it with a named one the moment we have permission to.

What was going wrong

  • Two of the owners wrote every quote themselves, from photos and scribbled site notes.
  • Quotes went out three days after the site visit. The fast competitor won the job about a third of the time.
  • Friday afternoon disappeared into it, every week, for both of them.

What we built

  • The estimator dictates site notes into their phone on the way back to the van.
  • We turn those notes into a draft quote against their existing price list and their own quote template — same wording, same layout, same numbers they already trust.
  • A person reviews and sends. Nothing goes to a customer unread.
  • Their accounting software and job management system were not touched. The draft lands where the quotes always landed.
I got my Fridays back. That’s it, that’s the review.
